Overview
The Payroll Manager supports Apex’s national payroll function within a rapidly growing, multi‑site home services organization. Reporting to the Director of Payroll, this role manages a team of Payroll Specialists responsible for mail processing, garnishments, and payroll tax support. The Payroll Manager documents and maintains standardized processes, payroll policies, and internal controls used nationwide. The role supports payroll operations for more than 12,000 teammates in 46 states and plays a key role in integrating newly acquired companies into Apex’s payroll ecosystem.
This is a hands‑on operational leadership role focused on accuracy, compliance, systems integration, and continuous improvement in a high‑growth, acquisition‑heavy environment.
Responsibilities
Supervise and develop a payroll team, including mail processing, garnishment handling, payroll tax notices, training, and performance oversight.
Document payroll processes and develop clear procedures, policies, forms, and checklists.
Build and maintain variance reports, exception reports, and other monitoring tools to support internal controls.
Establish and maintain scalable internal control practices across all payroll workflows.
Support payroll integration activities for a high-growth organization
Partner with cross‑functional teams to resolve payroll issues and ensure data accuracy.
Collaborate on long‑term payroll system strategy and optimization of ADP Workforce Now, ServiceTitan, and integrations.
Identify and implement operational enhancements that improve payroll accuracy and frontline teammate experience.
Candidate Requirements
5+ years of payroll operations experience in a multi‑site, high‑volume environment, including processing payroll across 46 states.
Experience supporting or integrating payroll processes within M&A environments (preferred).
Strong knowledge of payroll leading practices, including audits, reconciliations, and internal controls.
Deep understanding of the Fair Labor Standards Act (FLSA), including overtime, regular‑rate calculations, and exemption rules.
Hands‑on experience applying the FLSA 7(i) exemption for commissioned employees.
Strong working knowledge of ADP Workforce Now (or similar enterprise payroll platform).
Experience documenting processes, writing policies, and developing operational forms and checklists.
Strong analytical, organizational, and problem‑solving skills.
Excellent communication abilities for supporting decentralized and field‑based teams.
Comfortable performing hands‑on payroll work while also improving processes and controls.
Preferred Attributes
CPP (Certified Payroll Professional) certification preferred but not required.

Location & Travel
Based in Dallas, TX (preferred) or Tampa, FL, with occasional travel to partner locations—more frequent in the early months.
