Position Overview

We are seeking a proactive and detail-oriented Legal Assistant to support legal professionals in the Litigation, Employment, and Corporate practice areas. The ideal candidate will have 1 to 10 years of experience in a legal support role and be comfortable working in a fast-paced, deadline-driven environment. This role requires strong administrative, organizational, and communication skills, as well as a working knowledge of legal procedures, documents, and terminology. Job Description – Legal Assistant

Mission of the Role:

This will be a critical early member of the growing Apex Legal Department and key support to Apex’s Attorneys and Senior Paralegals Litigation and Employment. We are looking for an experienced, dynamic, self-motivated, and highly organized Legal Assistant. This team member must have a general background in litigation, employment, and/or corporate matters.

Litigation & Employment Support and Responsibilities:

  • Manage incoming service of process notifications and legal correspondence.
  • Receive, distribute and track incoming property & auto claims, Federal and State Agency Charges/Complaints, and new litigation matters.
  • Create and maintain case-management database entries and other records. 
  • Gather, organize, and maintain all legal documents related to cases. 
  • Assist in drafting release agreements, coordinate payments, as needed.
  • Provide general office support, including but not limited to calendaring deadlines and scheduling meetings.
  • Communicate with outside counsel, opposing counsel, inside customers, and witnesses.
  • Assist with case-specific document/file requests and production.
  • Ability to manage time effectively and meet deadlines. 
  • Ability to handle confidential information with discretion. 
  • Any other duties as required.

Corporate Support & Responsibilities:

  • Prepare, revise, and file corporate documents including formation, governance, dissolution, and compliance filings.
  • Maintain and update corporate records, including board minutes, resolutions, entity filings, corporate minute books and corporate databases.
  • Assist with entity management of corporate records via Athennian platform.
  • Assist with other duties as may applicable and/or necessary.

Experience and Qualifications:

  • 1–10 years of experience as a Legal Assistant in a law firm or in-house legal department.
  • Familiarity with litigation and corporate procedures and terminology.
  • Proficient in Microsoft Office Suite and legal software (e.g., iManage, Relativity, Westlaw, or similar).
  • General knowledge of corporate structure, court filing procedures (state & federal), and document formatting.
  • Excellent time management, organization, and attention to detail.
  • Ability to manage multiple tasks and prioritize effectively under tight deadlines.
  • In-house experience preferred, but not necessary.
  • High school diploma or GED (minimum requirement).
  • Bachelor’s degree (preferred).
